How to Reserve SIM Video Equipment


To help make it easier to reserve our video equipment, we now have electronic calendars to use for reservations.  We have two calendars, one for each SIM floor.  You will access the calendar and reserve equipment just as if you were scheduling time on your own calendar.  

Please do not send appointments to either calendar.  Everyone will have direct access to the calendar, and editors and designers will be able to see what is available.  Scheduling directly on the calendar will prevent delays because an EA won’t need to monitor and accept every appointment.  This is more efficient for everyone because you will be able to see that the equipment is available rather than waiting for a response to an email.

You do have to do a one-time setup to be able to reserve the equipment.

One-time setup
While in Entourage, click Entourage in the top, left-hand corner of your screen.

  1. Drag down to Account Settings.
  2. Double-click your name/account.
  3. Click Delegate at the top right. Go to the bottom box (Users I am a delegate for).
  4. Click Add.

• For CC, type SIM Video 4th Floor
• For Home Design / Garden / Health / Food, type SIM Video 2nd Floor

  1. Click Find.
  2. Click on the listing for the selected calendar in the main box and click OK.
  3. Click OK to close the Edit Account window.
  4. Close the Account Settings window.
  5. In the calendar view, you will now see the video calendar listed on the left-hand side of the Entourage window.


To schedule time on the new calendar:

  1. Bring up the calendar view. (Click on the calendar icon at the top left.)
  2. Click on the calendar name to the left:  

Calendar [SIM Video 2nd Floor] -- Home Design / Garden / Health / Food
Calendar [SIM Video 4th Floor] -- Creative Collection

  1. Double-click the date you wish to schedule.  Be sure to look at everything currently on the schedule so you aren’t double-booking time.
  2. Enter your name/topic, the Subject, and Location, if applicable. Be sure to include your name so we can track the equipment.
  3. Select the Start and End time
  4. Turn off the reminder by clicking the box next to Reminder.
  5. Click Save to save the appointment.
  6. To return to your calendar, click Calendar [Your Name’s Exchange Account].
